Lately, AI has dominated conversations in both business and social outings, especially in relation to my work as a VA. Some wonder if being a virtual assistant in the age of AI is sustainable. But the conversations I’ve had focus less on replacement and more on how AI makes life easier for VAs and business owners alike.
AI at Work: Partner, Not Replacement
I’ll admit it. I use AI almost daily in both my business and in assisting my clients. I even used it to help outline this very newsletter.
What I don’t do is use it as a crutch to write for me. My word choice and flow, that’s all me.
Because the human connection can’t be replaced.
If I want to connect with my audience, I have to deeply understand what I’m writing about and who I’m writing to. That’s the part no AI can do for me.
I apply this mindset to every faucet of my VA business.
Why AI Still Needs a Human Touch
Most of us know at least two AI tools, perhaps its Canva’s AI designer or an AI notetaker. But here’s the truth: there is no master AI that can do it all.
Sure, Canva’s AI creates beautiful graphics, but it can’t upload and format them into your client’s latest email campaign. Only a VA can do that.
Scheduling tools? They may have AI features, but they can’t resolve a client’s scheduling conflict with empathy or nuance. And let’s be honest: clients don’t want an automated response when something goes wrong.
They want to speak to a human being, someone who understands their priorities and can use critical thinking to make things right.
AI as Your Creative Brainstorm Buddy
Life as a VA can be hectic, and brainstorming isn’t always easy. Enter AI. When used correctly, it can be a powerful strategy-building partner.
From drafting content calendars to shaping blog frameworks, AI helps optimize your time allowing you to focus on higher-level, profitable work.
For example: if your client struggles with repurposing content, you can have AI generate a draft post. Then, you polish it to reflect your client’s branding and voice.
The result? Clients get consistency and quality, while you focus on bigger tasks like copywriting or segmenting email lists.
AI That Keeps Projects Moving
If you regularly manage client meetings or webinars, AI-powered notetakers are game changers. They capture everything said, highlight action items, and save everyone from the asking, “Wait, what was I supposed to do again?”
Here’s how I use it: AI records and organizes meeting notes. Then, I review for accuracy and add context. Things only a human business partner would catch.
The client benefits are clear: distinct follow-through, less time wasted, and confidence that nothing slips through the cracks.
The Bottom Line: Humans Lead, AI Assists
Most clients don’t care whether their deliverables were crafted by hand, supported by AI, or a mix of both. What they do care about is the human connection.
As an Executive VA, I see myself as a collaborator and business partner. AI will never replace strategy calls, personalized communication, or the trust built through authentic relationships.
That human touch isn’t optional—it’s what makes a business sustainable, memorable, and irreplaceable.
